How to make an expense report

What an expense report is

An expense report is a list of money you spent on someone else's behalf — your employer, a client, a team — with proof, so they can pay you back or record it. Most get rejected or delayed for the same three reasons: a missing receipt, an unclear purpose, or numbers that don't add up. Get those right and the rest is formatting.

The fields every expense report needs

  • --Your name and the period — “Priya Sharma, 1–15 October 2026”.
  • --Who it's for — the company, department, client or project.
  • --One line per expense with date, merchant, category, amount and a short business purpose (“Cab to client site, Acme kickoff”).
  • --Currency — and the converted amount if you spent abroad.
  • --Totals — by category and overall, plus any advance you already received.
  • --Receipts — one per line, attached in the same order.
  • --A signature or approval line if your organisation needs one.

A worked example

A two-day client visit to Pune, claimed by a Mumbai-based consultant:

  • --12 Oct — Train Mumbai–Pune — Travel — ₹780 — “Client workshop, Acme”
  • --12 Oct — Hotel, 1 night — Lodging — ₹4,200 — “Client workshop, Acme”
  • --12 Oct — Dinner with client team — Meals — ₹2,350 — “Workshop debrief”
  • --13 Oct — Cabs (3 rides) — Local travel — ₹960 — “Hotel to Acme office and station”
  • --13 Oct — Train Pune–Mumbai — Travel — ₹780 — “Return”
  • --Total: ₹9,070. Advance received: ₹5,000. Due to employee: ₹4,070.

Notice that every line says why. “Dinner ₹2,350” invites a question; “Dinner with client team, workshop debrief” doesn't.

How to make one in minutes instead of an evening

  • --Scan as you go. Photograph each receipt when you pay; AI scanning fills the amount, merchant and date for you (how it works).
  • --Tag the purpose at the time. A note on the entry takes five seconds then and saves five minutes of remembering later.
  • --Keep one ledger per trip, client or project. The report is then simply “everything in this ledger”.
  • --Export, don't retype. Export the entries to Excel or CSV, add the header fields, attach the receipts as one PDF, done.

Mistakes that get reports sent back

  • --Missing or unreadable receipts — thermal paper fades, so capture it on day one.
  • --Personal items mixed into the claim (the minibar, a gift for home).
  • --Foreign-currency amounts without the conversion rate or card statement.
  • --Submitting months late — most organisations have a deadline, and memories don't improve.
